Permit renewal is the piece of Dutch immigration admin that feels routine right up to the moment it is not. The card in your wallet has an expiry date, the process for replacing it is mostly mechanical, and the failure mode is nearly always the same: someone starts too late, or assumed their employer had started, and ends up with a gap in their residence history that quietly pushes back permanent residency.

The Timing Rule That Trips People Up

The window is narrower than most people expect, at both ends.

You cannot apply too early. IND is explicit: you apply for extension because your permit expires within 3 months. If it is still valid for longer, you cannot yet submit, because the IND is then unable to make a proper assessment.

You should not apply late. IND’s own framing is “extend in time, prevent a residence gap”: apply while the permit is still valid. If validity has just expired, submit no later than 4 weeks after expiry so the permits succeed each other. After 4 weeks, apply as soon as possible, expect a possible residence gap, and include a letter explaining the delay. After 2 years the door closes — you must apply for a new permit, which may mean returning to your own country for an MVV.

So: set a calendar reminder four months before the expiry date, and submit inside the three-month window with documents ready.


Why a Residence Gap Is the Real Risk

IND states plainly that if you have a residence gap, it will take longer before you can apply for a permanent residence permit or become a Dutch citizen. That is the reason to apply in time. See the Dutch nationality guide.


Who Actually Submits It

The second big failure mode is structural rather than personal.

IND states you can usually apply for the extension yourself. But if you hold a permit as a highly skilled migrant, a researcher, or a student in higher education, only your recognised sponsor can submit the application, via the Business Portal.

On a kennismigrant permit, in other words, your employer is the applicant, and you cannot fix a late submission by doing it yourself. So the item on your calendar four months out is not “apply” — it is “confirm in writing with HR who is submitting my extension and when”. Requirements, and the Permits You Cannot Extend

IND lists the conditions: a valid permit that can still be extended; you still meet the requirements of your own permit type; a valid passport or travel document; your main residence in the Netherlands, meaning you live here and spend most of your time here; you are not a danger to public order or national security; and you did not give or withhold false information in your last application.

Cannot be extended at all, per IND: Working Holiday Program or Scheme, cultural exchange, au pair, stay as a trainee or student on work placement, and the orientation year Netherlands. Two conditions carry hidden traps. Main residence in the Netherlands is a real test for people who spend long stretches working abroad. And still meeting the requirements is where a changed job, a reduced salary or a relationship breakdown surfaces.


Documents

IND does not publish one universal list, because it depends on your purpose of residence. What it does say: the written application form lists which documents you need, collect them all before applying, and official foreign documents must be legalised and translated into Dutch, English, French or German.

What Happens After You Apply

IND must decide within 90 days, can extend that if deciding takes longer — for example because the application is incomplete — and will write to you if it does. For a permanent residence permit or long-term EU resident status the period is 6 months.

A Renewal Timeline That Works

  • 4 months before expiry: confirm in writing who submits — you or your recognised sponsor. Check passport validity.
  • 3–4 months before: order any foreign documents needing legalisation or certified translation.
  • Inside the 3-month window: submit, pay, save the confirmation.
  • While pending: keep your BRP address current; check My IND or the Berichtenbox weekly.
  • On decision: book collection immediately and check the dates on the new card.
